A guest should be able to reach reception. A reservation should reach the right person. Start with those everyday needs, then choose the telephone system that fits your property.

Start with the calls that matter

A PBX, or private branch exchange, connects your internal extensions and routes calls to and from external telephone networks. For a hotel, its design needs to reflect who answers, where they work and what happens when they are busy.

Map the guest journey alongside staff routines. A useful brief describes the destination and fallback for each call, rather than simply counting handsets.

  • Reception: room calls, transfers and an agreed route when the desk is busy.
  • Reservations: opening hours, shared answering and unanswered-call handling.
  • Guestrooms: clear dialling instructions and the room features you actually use.
  • Housekeeping and engineering: practical ways to reach the team on duty.
  • Management: appropriate access, useful records and a named fault contact.

Make the most of the existing property

Existing phones, cable routes, numbers and equipment are assessment inputs. Reuse depends on their condition, interfaces, support status and required features. A working old handset is not, by itself, evidence that it will work on a new platform.

For a new building, coordinate telephone requirements with network design, power, room fit-out and the opening programme. For an operating hotel, identify room-access restrictions and suitable change windows before choosing a migration sequence.

Agree the boundaries before installation

The design should identify what is included in the telephone system, what depends on the carrier or internet provider, and what needs approval from the PMS provider. Number retention, integration features and failure behaviour need specific verification.
